This guide will help PayAuth merchants navigate the reporting platform.

DASHBOARD
The PayAuth portal dashboard will give you an overview of:
- Total Withdrawals (successful payments collected)
- Total ATM Fees (Fees collected from consumers)
- Total Approved Transactions
- Total Declined Transactions
- Terminal Status’
- A terminal can be online, offline, inactive, or ‘low cash’
- You can click on any of the status’ shown on the right to see a list of each terminal that is currently in that state.
TERMINALS
The Terminals tab allows you to view all your terminals and their information. You can sort along the top by terminal state, or search by the specific ID of the terminal you want to view. Each terminal will show the following information from left to right:
- If the terminal is online or not
- The ID of the terminal
- The name of the merchant account the terminal is assigned to
- A description of the terminal (SN / version number / connection type)
- The model of the terminal
- The last ACTIVITY on the terminal
- Activity counts as any time the terminal is interacted with. A tap, an unlock, a swipe, a reboot, any action.
- The remaining ‘cash’ in the cassette
- The last DISPENSE on the terminal
- A dispense is any completed transaction.
TRANSACTIONS
The transactions tab will show you a live feed of transactions being performed on the terminals. You can sort along the top by the payment status (Paid, Declined, etc), you can filter by date/time and you can search for individual transactions.
Additionally, you can export the data you are filtered to with the download button (down-pointing arrow) at the right, and you can see a quick calculation of the totals based on your current filters by clicking the calculator button at the top right.
Each transaction will show the following from left to right:
- The date and time the transaction occurred
- The merchant account the terminal that charged the card is assigned to
- The SN of the terminal used
- What kind of transaction it was (Chip or Tap)
- The state of the transaction (paid/declined / etc)
- The card account used for the transaction
- The amount of the transaction
- The fee(s) associated with the transaction
- The total of the amount + fee(s)
The PayAuth portal allows you to see much more about a transaction by simply clicking on it.
Here we can see a number of things:
- The status of the transaction along the top
- This top bar will be green for paid, and red for denied
- It also shows the type of transaction, the method used, the amount requested, and the fee
- At the top right, we can see a virtual version of the card used
- This virtual card representation displays the name of the cardholder, a portion of the card number, the issuing bank, the expiration, the CVV, and the card type (visa / Mastercard / etc)
- In the middle we can see the transaction information, this is more or less the same as the summary view in the previous screen
- On the right, we can see the EMV, Terminal & Merchant Info
- Finally on the bottom right we can see the receipts.
- We can even view and download digital versions of the EXACT receipt that was printed by the terminal when the payment was completed.
ATM-S Reports
The ATM-S Reports tab breaks down into several sub-tabs. Each serves a slightly different purpose. Each sub-tab is for the following:
- DASHBOARD - This report will show you a summary for all activity at a specified merchant location, based on the date range you set.
- You can see the merchant location, the sales, cashback, tips, number of transactions, etc.
- All the data available can be shown as an hourly activity graph in the middle of the page
- Finally, at the bottom, you will find a list of all the transactions that make up the data being displayed
- MONTH BREAKDOWN - This report is the same as the dashboard report, however it specifically separates all data by calendar month
- GROUP DAY - This report shows a breakdown of daily totals per MERCHANT LOCATION
- If you have an organization account with multiple merchants underneath of it, you will see 1 line per location. Otherwise, this report will only show you a single location daily summary.
- GROUP MONTH - This is the same as the group day report, however it specifically separates all data by calendar month
- TERMINAL DAY - This report shows a breakdown of daily totals per TERMINAL
- TERMINAL MONTH - This is the same as the terminal day report, however, it specifically separates all data by calendar month
NOTE: The PTID & Processor Trans reports are not relevant or used currently for this program
- Unsettled Funds - This report allows you to check each day’s total transactions, and of those totals, how many & how much funds were settled for deposit, and how many are rolling over to the next calendar day’s batch.
- This is a very useful report considering these terminals all batch at 2pm central, and every calendar day’s deposit consists of the second half of one day, and the following day’s first half.
MERCHANTS
The final tab that is currently relevant and used for this program is the Merchants tab. This tab displays all merchants assigned under your access. Keep in mind that if you have an organization account with multiple merchant locations assigned to you, the page will populate a list like you see above, but if you are a single merchant location, this will simply have 1 line populated.
Clicking on any of the merchants in the list will pull out a page from the ride side of the screen that will display the following information:
- Merchant Info
- Name of merchant
- Time Zone
- The merchants ‘EoD’
- Website, logo & number info
- etc.
- Location Info
- Address and language of merchant location
- Contact Info
- The name, email, and phone number for the:
- Primary Contact
- Accounting team
- Cage Manager
- General Manager
- IT staff
- Account Rep
- Sales Account Rep
- The name, email, and phone number for the:
Finally, at the top right of the page will be a ‘VIEW PORTAL’ button that will allow you to go into a view that lets you view the entire portal and everything we have covered thus far, through the eyes of that merchant specifically. Essentially narrowing everything down to that singular merchant’s data.
